From Manual to Fully Automated: Transforming Policy Renewals with RPA

Before automation, processing a single policy renewal in Premia 11 could take 45–60 minutes. With PAR and WC policies accounting for a high volume of commercial insurance transactions, the cumulative operational effort was substantial. Policy Administration teams spent considerable time on repetitive activities such as data entry, validation, document generation, and status updates.
The process also required employees to update multiple systems, including:

  • Premia 11 for policy processing
  • OnBase DMS for document management
  • Enquiry Tracker for tracking records
  • HR MH module for updates

As policy volumes increased, simply adding more people was not a scalable answer. The organization needed a way to process renewals faster and more consistently without increasing its operational headcount.

The Transformation: An Unattended RPA Engine for End-to-End Processing
Clover Infotech implemented a UiPath-based unattended RPA solution to automate the complete renewal processing lifecycle for PAR and WC policies. Rather than automating just one task, the solution connected multiple steps of the renewal journey into a single automated workflow.
The automation runs twice daily, including weekends, and begins by automatically ingesting renewal input files from Qlik Sense.
From there, the bot takes over the renewal process in Premia 11, including reissuance workflows and the handling of additions, deletions, and modifications to coverage details, premiums, and policy clauses.
It also performs:

  • Automated premium validation: Premium calculations are performed and validated against the source data, helping improve processing consistency.
  • Automated document generation: The solution generates required policy documents, including Policy Schedules, Tax Invoices, Broker Commission Documents, FAC Closing Documents, Mortgage Letters, and General Certificates.
  • Automated document archival: Generated documents are seamlessly archived in OnBase DMS, eliminating the need for manual document management.
  • Automated system updates: Enquiry tracking records are closed in Premia 11 and the HR MH module is updated automatically.
  • Automated notifications: Processing users receive email notifications containing renewal status and document locations.

The result was an end-to-end digital workflow that could move a renewal from input to completion with minimal human intervention.
